GUIDELINES

FOR SPEAKERS:

  • The meeting room is equipped with a digital projector, screen & laptop, and we encourage speakers to submit the slides 3 days prior to the event. However, you can use your own laptop for the presentation and/or demonstration under unavoidable conditions. Please let us know if you need any other special requirements or software to be installed on the podium laptop.

  • Speakers have 30 minutes for their talk and additional time for questions (controlled by the session chair).

FOR POSTER PRESENTERS:

  • Poster Presentation Guidelines

  • Poster boards (1 meter x 1 meter) with poster numbers and adhesive materials will be provided to each presenter.

  • Presenters are encouraged to set up their posters one hour before the start of the poster sessions, as per the final program schedule.

  • Poster evaluation and certificate distribution will be conducted by the judges.

  • Poster awards will be presented on Day 3 during the closing ceremony.

CERTIFICATION:

  • All the attendees will be provided with the participation certification authorized by the ORGANIZING COMMITTEE MEMBERS (OCM).

GUIDELINES FOR WEBINAR PARTICIPANTS:

Guidelines For Presenters:

  • Each speaker will be allotted a specific duration for their presentation. Please plan your talk within the allowed time to accommodate introductions and a Q&A session at the end of your talk.

  • To stay on track, ensure that you start and end your presentation according to the times indicated in the program.

  • The working language of the webinar is English.

  • Presenters should have their presentation slides ready and open on their devices when the meeting starts. Please share your document while sharing your screen.

Guidelines For Joining Webinar:

  • After registering for the webinar, you will receive a meeting invite with a personalized user ID for access. Please check your junk mail folder if you do not see this email in your inbox.

  • Follow the provided steps to join the webinar 1 or 2 days before the event to avoid technical issues on the day of the event.

  • Join the webinar 30 minutes early to minimize last-minute issues.

  • Ensure that your device meets the system requirements for running the application.

  • For better audio quality, it is recommended to use an external audio device.

  • If you encounter audio issues, check your application’s audio settings and your computer’s speakers.

  • Choose a quiet location with good network access and minimal disturbances.

  • Mute your audio while others are presenting. If you wish to ask questions or discuss, raise your hand, and the host will unmute you at the end of the talk.

  • If joining from a computer, you may need an external device for video connectivity.
